REGISTRATION:
The registration is binding. Full payment is to be submitted upon reception of the invoice. Participation will not be guaranteed until payment of the TOTAL fees. The organizer will make a 50% refund to any Forum applicant in response to refund requests received in writing at least 45 days prior to the start of the selected Forum. No refunds will be made on registrations cancelled later than 45 days prior to the start of the selected Forum. No refunds will be made for any registration with fees and/ or conditions differing from the standard rates (including but not limited to: Discounted offers, Early Bird registrations and Package deals covering multiple events). All monies left outstanding at the time of cancellation will be due immediately.
CANCELLATION/POSTPONEMENT OF THE FORUM:
In the event that any unforeseen occurrence shall render the fulfillment of this agreement impossible by the organizer, the parties shall mutually amend or terminate the agreement at the organizer’s option. Participating individual and/ or participating organization (hereinafter: Participant) hereby waives any claim against the organizer for damages or compensation. The organizer may return a portion of the amount paid for participation after deduction of any amounts necessary to cover expenses incurred in connection with the forum. Such expenses shall include, but not be limited to all expenses incurred by the organizer as a result of contracts with third parties for services or products incidental to the show including out of pocket expenses incidental to the forum, and all overhead expenses attributable to the production of the forum. No monies will be returned should the dates or location of the event be changed by organizer. The organizer shall not be financially liable in the event the forum is interrupted, cancelled, moved, or dates changed except as provided herein.
SPACE ASSIGNMENTS:
Organizer’s assignment of exhibit space is final and shall constitute an acceptance by the Participant to occupy space. Assignments will be made only after receipt of the exhibitor agreement and the appropriate fees. After assignment, space location may not be changed, transferred, or canceled except upon written request and with the subsequent written approval of organizer. Notwithstanding the above, the organizer reserves the right to change location assignments at any time, as it may in its sole discretion deem necessary.
SET-UP AND DISMANTLE INFORMATION:
All set-up work of exhibitions must be completed by 9:00 a.m., on the first day of the forum. Installation and set-up of exhibitions may begin at 7:30 a.m. this same day. Dismantling of displays may begin at, but not before, 7:00 p.m. on the last day of the forum. All Exhibitor/ Sponsor materials must be packed and removed no later than 9:00 p.m. on this same day. Any material left after this time will be removed by the venue/ organizer and either disposed of or stored at the exhibitor’s expense with no liability on the part of organizer or the venue for any loss of or damage to the material.
DISTRIBUTION OUTSIDE OF DESIGNATED EXHIBIT SPACE:
Representatives of exhibiting companies are to remain in their assigned exhibition space when working — i.e. demonstrating and passing out literature. In no case will use of the venue or thoroughfares for this purpose be permitted. The use of professional models is permitted provided they are properly attired. SUBLET: An Exhibitor/ Sponsor shall not sublet any part of the space rented to him. (Tabletops may be occupied by one company only, except in the case of value added retailers approved by organizer.)
ACCOMODATION/ VISA SUPPORT:
Participant is solely responsible for his accommodation arrangements and Visa application. However, our official accommodation Agent can provide Visa Support (Target Tourism only) if accommodation is booked via Agent.
TELEPHONES, INTERNET, ELECTRICAL, ETC:
The organizer assumes no responsibility for the availability of these services for participants, but items and services may be available through the conference center.
DELEGATE LIST:
Pre-conference and Post-conference list contain delegate names and phone numbers. Company information and positions are provided contingent on availability. Emails are not provided.
LIABILITY AND INDEMNITY:
1. This agreement shall not constitute or be considered a partnership, joint venture, or agency relationship between organizer and Participant. Participant hereby agree to indemnify, hold harmless and defend organizer and the forum Facility, and their respective officers, directors, and employees (Indemnitees) from and against any and all liability, responsibility, loss, damage, cost, or expense of any kind whatsoever as they arise (including but not limited to court costs, interest and attorney’s fees) which the Indemnitees may incur, suffer, be part to, or be required to pay, incident to or arising directly or indirectly from any intentional or negligent act or omission or breach of these terms, conditions, and rules, or violation of any ordinance or statute by participant or any of its employees, servants, or agents.
2. Participant assumes full responsibility and liability for the actions of its agents, employees, and independent contractors, whether acting within or without the scope of their authority, and agrees to indemnify, hold harmless, and defend the Indemnitees as expenses arise, from responsibility or liability resulting directly or indirectly, or jointly, from other causes which arise because of the acts or omission of its agents, employees, relatives, or independent contractors whether acting within or without the scope of their authority.
APPLICABLE LAWAND JURISDICTION:
1. In the event of any claim or dispute arising under this Agreement, the parties shall first attempt to resolve the matter over a period of at least thirty-one (31) days before resorting to arbitration or litigation, which shall only be commenced after the giving of at least five (5) days written notice of intent to file for arbitration or to bring suit.
2. Should either party resort to litigation or Alternative Dispute Resolution, the parties agree that the venue shall be Tallinn, Estonia. Participant hereby agrees that the laws of the Tallinn, Estonia shall control construction and enforceability of this Agreement and hereby consents to jurisdiction of the Tallinn, Estonia with respect to any right of action arising under this Agreement.
